Terms of Service

These Terms of Service ("Terms") constitute a legally binding agreement between you ("User", "you", or "your") and RedactBox Ltd ("RedactBox", "we", "us", or "our") regarding your access to and use of the RedactBox email and document redaction platform and services (the "Service").

By accessing or using our Service, you agree to be bound by these Terms. If you disagree with any part of these terms, then you may not access the Service.

1. Definitions

  • "Service" refers to the RedactBox email and document redaction platform, including all associated software, websites, and functionalities.
  • "Content" refers to email archives, email messages, PDF documents, attachments, and any other data you upload or process through the Service.
  • "Document" refers to a single file you upload to a Project, such as one email archive or one PDF.
  • "Account" refers to your registered user account with RedactBox.
  • "Redaction" refers to the process of removing or obscuring sensitive information from email content.
  • "Project" refers to your organised collection of Documents and redaction work within the Service.
  • "Licence" refers to one seat on a Teams plan, assigned to a named user.

2. User Representations and Warranties

By using the Service, you represent and warrant that:

  • You are at least 16 years of age
  • You have the legal authority to enter into these Terms
  • All information you provide is accurate and current
  • You have the legal right to upload, process, and redact all email content you submit to the Service
  • Your use of the Service complies with all applicable laws and regulations
  • You will not use the Service for any unlawful or prohibited purposes

3. Service Description

RedactBox provides an email and document redaction platform that allows you to:

  • Upload and process email archives and messages in MBOX, PST, EML and MSG formats, and PDF documents
  • Triage content and remove duplicate messages
  • Find and redact sensitive information, including through search, word lists and People Detection
  • Convert email archives to PDF
  • Export redacted content as PDF, with a schedule of redactions and an audit log
  • Share Projects with colleagues and manage redaction work

The limits that apply to each plan are set out in section 4 and on our pricing page. Where the two differ, the pricing page shows the current limits.

4. Plans and Limits

4.1 Free

  • One (1) Project containing one (1) Document of up to 500 MB
  • Access to the redaction tools
  • Exports carry a RedactBox watermark
  • Conversion to PDF of one (1) file of up to 50 MB per job

4.2 Professional

  • Unlimited Projects, with up to 500 Documents and 200 GB of storage in total
  • Documents of up to 3 GB each, with no limit on the number of emails in a Document
  • Exports without a watermark
  • Conversion to PDF of up to 100 files per job, each up to 3 GB
  • Project sharing: invite colleagues as editors or viewers. Editors need their own Professional plan or Licence; viewers do not
  • Priority email support

4.3 Teams

  • Two (2) or more Licences, each giving its assigned user the Professional plan
  • One bill for the organisation, with Licences assigned and reassigned by the account owner

5. Acceptable Use Policy

You agree not to use the Service to:

  • Upload or process email content you do not have legal authorisation to access or modify
  • Violate any applicable laws, regulations, or third-party rights
  • Transmit malware, viruses, or other harmful code
  • Attempt to gain unauthorised access to the Service or other users' accounts
  • Abuse, harass, or harm other users or our support team
  • Use automated scripts or bots to access the Service
  • Reverse engineer, decompile, or attempt to extract source code
  • Interfere with or disrupt the Service's functionality

6. Content and Data Rights

6.1 Your Content Ownership

You retain full ownership of all email content and data you upload to the Service. We do not claim any ownership rights to your content.

6.2 Processing Rights

By uploading content to the Service, you grant RedactBox the limited right to process, analyze, and modify your content solely for the purpose of providing our redaction services.

6.3 Content Responsibility

You are solely responsible for the content you upload and must ensure it complies with all applicable laws and these Terms. You warrant that you have all necessary rights to upload and redact the email content you submit.

7. Subscription and Billing

7.1 Prices

Professional costs £25 per month. Teams costs £25 per Licence per month. Current prices are shown on our pricing page.

7.2 Billing

Subscriptions are billed monthly on the same day of the month you first subscribed. Card payments are processed securely through Stripe. Teams plans can instead be paid by invoice, with a purchase order number if you need one, on 30-day payment terms. You can view your billing information and manage your subscription through your account billing page.

7.3 Late Payment

If a payment fails, your access continues while we retry it. If it still cannot be collected, your account moves to the Free plan's limits. Your Projects and Documents are kept.

7.4 Cancellation

You may cancel your subscription at any time, which will prevent future billing. We do not provide refunds for partial months or unused services.

7.5 Free Plan

The Free plan is not a trial with a time limit. It is a permanently available plan with the usage limits set out in section 4.1.

8. Service Termination

8.1 Termination by You

You may terminate your account at any time. Upon cancellation, your subscription will not renew, but your data will remain accessible until you choose to delete it.

8.2 Termination by RedactBox

We reserve the right to terminate or suspend accounts that violate these Terms or abuse the platform. Termination may occur immediately without notice in cases of serious violations.

8.3 Data After Termination

Your data remains in your control after your subscription ends and will only be deleted when you explicitly choose to delete it through the platform.

9. Intellectual Property

The Service, including all software, designs, text, graphics, and other content, is the proprietary property of RedactBox Ltd and is protected by copyright and other intellectual property laws.

You are granted a limited, non-exclusive, non-transferable right to use the Service for its intended purpose during your subscription period. You may not copy, modify, distribute, or create derivative works from our Service.

10. Disclaimers and Limitations of Liability

10.1 Service Disclaimers

The Service is provided "as is" without warranties of any kind. We do not guarantee:

  • Complete accuracy or completeness of redactions
  • Uninterrupted service availability
  • That the Service will meet your specific requirements
  • That all sensitive information will be identified or redacted

10.2 User Responsibility

You are solely responsible for:

  • Reviewing all redacted content before distribution
  • Ensuring redactions meet your legal or compliance requirements
  • Validating the accuracy and completeness of your redacted documents
  • Complying with all applicable laws regarding data processing and privacy

10.3 Limitation of Liability

To the maximum extent permitted by law, RedactBox Ltd shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, even if advised of the possibility of such damages.

11. Indemnification

You agree to indemnify and hold harmless RedactBox Ltd, its officers, directors, employees, and agents from any claims, damages, or expenses arising from your use of the Service, your violation of these Terms, or your infringement of any third-party rights.

12. Governing Law and Disputes

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before initiating any legal proceedings, parties agree to attempt resolution through our support system available at redactbox.co.uk.

13. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify users of significant changes via email or through the Service. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

14. Severability

If any provision of these Terms is found to be unenforceable or invalid, the remaining provisions will continue in full force and effect. The invalid provision will be replaced with a valid provision that most closely approximates the intent of the original.
